Planned Song Services: Preparation Checklist

Draft the arrangement of songs, scripture readings, and prayers.
If possible, get reviews and constructive criticism.
Canvass song leaders to identify constraints on repertoire.
Optionally gather some good sight-readers to try out any new songs.
Optionally print the selected Bible readings.
Schedule service

Two copies of each reading, with schedule attached and assignment hilighted
One copy of the schedule for each member
Two copies of the schedule for each song or prayer leader, with assignment hilighted

Record assignments on one "master" copy of the schedule (say, the invitation reading)
Give each reader a hilighted copy of the schedule and his reading; and each song or prayer leader a hilighted copy of the schedule
Double-check that each song leader is comfortable leading his songs
Select a backup reader and song leader; ask them to see you just before the service.
Keep the other marked copies of the readings and schedules.

Bring: hilighter, spare marked reading/schedules, and unmarked schedules.
Draft ushers to pass out schedules (children enjoy doing this)
As leaders
arrive:
Check them off on the master schedule
Give them the backup hilighted schedule if they forgot theirs.
Remind them observe the choice of song verses, if the time is short; the last leader may have time to sing all verses.

Give remaining assignments (hilighted schedules) to backups
